Scanning Instructions

There are three scanners in Hale Library. They are located on the 1st, 2nd, and 3rd floors. Scanning is free.

The Media Development Center (213 Hale) also has scanners, including one for loose sheets of paper. If you are scanning loose sheets, that one is much faster than the big scanners.

Due to the large files sizes that can be generated by the scans, we strongly recommend that you save the files to a USB/flash/thumb drive. K-State's email has size limits and may reject an email with a large scanned document.

Press the touch screen to wake up the computer if it has timed out. If the overhead light is not on, press the green start button on scanning unit.

To save to USB drive:

  1. Insert USB drive in port on the upper right hand side of the touch screen.
  2. Place item face up on scanning table
  3. Touch SCAN for each page or item.
  4. When you are finished scanning, touch SAVE to USB drive.
  5. Touch DONE only after you have saved your scans. All images that haven't been saved will be deleted.
  6. Remove USB drive from the machine.
To email:
  1. Touch the EMAIL option on the bottom of the screen.
  2. Type in your email address (the @ symbol is above the right shift key).
  3. Touch OK.
  4. Place item face up on scanning table.
  5. Touch SCAN for each page or item.
  6. When you are finished scanning, touch EMAIL to (your email address).
  7. Touch DONE only after you have sent your scans. All images that haven't been sent will be deleted. This will also clear out your email address from the screen.

Please note: The default settings for scanning are color, medium resolution, single page image and JPEG file. JPEG files tend to be large . You should save or send images often, no more than 5 at a time. If you want to change from the default settings see additional tips below.

Additional scanning tips. Many of these changes you can make by selecting various options at the bottom of the touch screen or by touching the CHANGE SETTINGS button:

  • To save as a PDF document, select PDF. If you save your scans as PDF all of the images will be sent as a single document.
  • There are options to adjust the BRIGHTHNESS, SHARPNESS, and RESOLUTION on the bottom of the touch screen. You can preview and delete images you don't like or need.
  • When scanning books or articles, you may want to scan in GRAY SCALE to get a cleaner scan. When scanning larger sized books and articles you may want to have each page as a single image. Go to CHANGE SETTINGS and select SPLIT IMAGE. Then press close. Line up the page split with the center arrow on the scanning table.
  • If the book is very tightly bound, you may want to adjust for the curve of the pages. Go to CHANGE SETTINGS and press BOOK MODE. Then press Close. Line up the page split with the center arrow on the scanning table.
  • Book mode automatically splits the scan into two separate images, one for each page
  • You can change settings for images that have already been scanned provided that they weren't scanned in advanced mode
  • Don't set anything else on the scanning bed: the scanner might think that you want to scan that as well and it scans the entire scanning bed instead of just the pages/book you are scanning.
  • When scanning a single sheet, it is best to center it in the scanning area.
