Tracking Membership and Group Subscriptions

In the Acquisitions Module:

Titles received as part of groups subscriptions or memberships will carry a code in the purchase order line item "Notes" field:

  • mp = membership payment
  • mr = membership received
  • gs = group subscription

Additional information will be forthcoming in "Creating Purchase Orders on VOYAGER."

K-State Libraries has two types of membership packages: 1) those that involve receipt of one title; 2) those involving 2 or more titles.

Memberships -- Multiple Titles

When the Libraries' receives more than one title because of a membership, or receives a membership to an association that includes a subscription to more than one title, Serials LAIIs will:

  • Create a brief membership record in the Cataloging Module using the following MARC tags:
    (Refer to brief records for coding the fixed field.)
    • 110 [Name of the Institution/Society/Association]
    • 245 [Name from 110 field] membership package
    • 246 Membership package
    • 260 Place of publication : |b Publisher (NOTE: replace "<" with "[")
    • 590 Add notes as needed
    • 730 Title received as memberships (add additional 730s for each title)
      • Add |g [bibliographic no. of title], [purchase order no.]
    • 930 Add dept. code if all are same subject
    • 945 Add group number
      • |a [electronic pkg]
      • |b [print pkg]
    • 948 |a initials |d [date]

    Be certain to properly code non-filing indicators in the 245 and 730 fields.

      Titles that are copied and pasted from other bibliographic records often include initial articles!

    Code the 246 with 1st indicator 2, 2nd indicator 3.

    (NOTE: some older records may have "Membership" in the 245 field with title information in 590 fields.)

  • Suppress the bibliographic record.

Memberships -- Single Title

Do not create a membership record when only one title is received as part of the membership package. For those records, add a 590 note to the bibliographic record:

    KSU copy includes membership to [name of Institute/Society/Association].


Group Subscriptions

In the Cataloging Module, Serials LAIIs will:

  • Create a group subscription record using the following MARC tags:
    (Refer to brief records for coding the fixed field.)
    • 245 [Title] group subscription [The title K-State Libraries pays for as it appears on the invoice]
    • 246 Group subscription
    • 260 Place of publication : |b Publisher (NOTE: replace "<" with "[")
    • 730 Title (add additional 730s for each title that is being received because of the group sub).
        Add |g [bib. record number], [purchase order number]
    • 930 Add dept. code if all are same subject
    • 945 Add group number
      • |a [electronic pkg]
      • |b [print pkg]
    • 948 |a initials |d [date]
