Department Manual
Added copies
Copies going to same location
All copies for a particular location should be displayed on the same
holdings record. If multiple holdings are found for the same location,
check with the Database Maintenance team leader.
-
Add subfield t between the |b
(location) and |h (class number). Put
the range of copies at that location in the |t.
Example
|b main |t 1-2 |h BR195.C6 |i S35 2002
-
In the 008 of the MFHD:
- Change Copy Report to 1
(Composite).
- Edit Number of Copies to reflect
number of copies on that individual MFHD.
- Code all other MFHD values as usual.
-
Create the item record for the added copy. Make sure that the
copy number in the Copy box at the bottom
of the item record display is filled with the correct copy number.
-
Correct the item record for copy one, if necessary. If the item
record for copy one shows a zero in the Copy box at the bottom
of the item record, change it to a 1
(one).
-
Write the call number in the item, with the copy number at the
end of the call number. It is written as c.
followed by the copy number.

Copies going to different locations
-
Create a new holdings record for the different location.
-
Add subfield t between the |b
(location) and |h (class number). Put
the number (or range of numbers) of copies at that location in
the t. Make sure the call number for each copy
is the same, unless the call number scheme is different
(i.e, LC versus SuDoc).
