Department Manual
Title Added Entries
Purpose: This document assumes that current
Library policy for making added entries for the title proper will
be followed. It is intended to summarize LC policy for the making
of additional title added entries.
With the implementation of format integration, most title added entries
will now go in a 246 field, rather than a 740 field. Title added entries
should only go in a 740 field when the title refers to only a part
of the whole work (such as an individual title in a work with a non-collective
title). Titles that are variant titles for the work as a whole (cover
titles, titles with symbols or ampersands, etc.) will go in a 246
field.
General guidelines for the use of the 246 field
-
Do not end the field with a period or other mark of punctuation
unless it is part of the data (such as an abbreviation).
-
Do not enter initial articles (a, an, or the, and
their equivalents in other languages). See Initial
Articles to Be Disregarded in Title Entries for more information.
-
Add a colon at the end of cataloger-supplied text recorded in
a subfield |i
Values for the first indicator of the 246 field
The first indicator of the 246 will determine if a title is traced
and whether or not there is a system generated note for the 246.
First Indicator Values
| 1st Indicator |
Meaning |
| 0 |
Note, no title added entry |
| 1 |
Note, title added entry (use for cover, spine, and running titles)
|
| 2 |
No note, no title added entry |
| 3 |
No note, title added entry (use for part titles, parallel titles,
alternative titles, and titles with signs, symbols, abbreviations,
corrections, acronyms, or numbers) |
Examples of different types of title added
entries
The following situations will require additional title added entries,
using a 246 field or, in rare cases, a 740 field. Both the 246 field
and the 740 field are repeatable in the MARC record, and can be used
multiple times in each record, as needed. See OCLC’s Bib
Formats and Standards for a complete list of indicators and subfields
that can be used in the 246 and 740 fields.
-
Cover titles, running titles, spine titles,
parallel titles, and added title page titles
Make title added entries for cover titles, spine titles, running
titles, parallel titles and added title page titles when they
are significantly different than the title proper. Use a 246 field
with the proper second indicator for that type of title.
Commonly used values for the second indicator
| 2nd Indicator |
Meaning |
| 1 |
Parallel title |
| 4 |
Cover title |
| 5 |

Parallel title example
245 00 Japan report = |b Nihon.
246 31 Nihon
In some circumstances, there will be no second indicator which
matches the situation. In this case, use the i of the 246 to make
a note for the sources of the variant title. In this case, the
first indicator will be a 1 and the second indicator for the 246
will be blank.
245 10 Highway users tax fund performance audit.
246 1 |i At head of title: |a Report of the State Auditor

Partial

portion of the title proper is three words or less, make a special
title added entry for the first portion (the first part of the
title proper up to the word "or").
245 10 Victory, or, How I won the war.
246 30 Victory
246 30 How I won the war

as it appears on the item.
245 10 One day's d[u]ty ...
246 3 One day's dty
-
Letters and initialisms (acronyms)
If a series of letters occurs as one of the first five words
in a title proper and there is spacing
or separating punctuation, make an additional title added entry
without the spacing or punctuation.

Numbers
When a number occurs as one of the first five words in a title
proper, make an additional title added entry as follows:
-
Arabic numerals (excluding dates).
Spell out the number in the language of the title proper,
if it is thought that some users of the catalog might reasonably
expect to search the catalog for the spelled out version.
Use the following examples as a guide.
- 101 = one hundred one or one
hundred and one
- 425 = four hundred twenty-five, not
four hundred and twenty-five
- 1226 = one thousand two hundred twenty-six
- 2500 = twenty-five hundred

proper.

246 3 World War 2 small arms

-
Dates. Do not make additional
title added entries in the spelled out form for dates representing
a single year or span of years. EXCEPTION:
If the dates are written in roman numerals, make a 246 substituting
arabic numerals for the roman numerals.
-
Items without a collective title when
the titles are by one author. Provide additional title
added entries when the title and statement of responsibility contains
more than one title. Use 740 fields for the additional entries.
In addition, if there is an intervening |h
between the |a and the |b, make a title added entry for
the complement of titles immediately adjacent to one another appearing
at the beginning of the title and statement of responsibility
area and treated as a unit. Use the 246 field for this entry.

740 02 Three dialogues.
245 14 The ecclesiastical history of the English people |h [microfilm] ; |b The greater

-
Items without a collective title when
the titles are by more than one
author. On rare occasions when this happens, the title
added entries will be a combination of a 700 field for the individual
authors with a |t for the individual titles, along with 740s.
If unsure about how to enter these entries, consult with the Copy
Cataloging team leader or a member of the Original Cataloging
team.
