Binding
Sorting Books for Binding Shipments
All books will be checked for these details.
Title and author are marked (Slash marks around title. Two dots
under first letter of authors last name).
Call number and location as marked on flyer.
OCR number on page with call number.
Covers that should be kept or copied. (Always bind in covers for univ, cmc, and mrrc ref.)
If only the outer cover is needed, this can be a digicover
or bound in . (For bound in use flyer “Bind in Cover”)
If there is needed information on the endsheets, copy the
pages and place in the book.
Books can now be sorted into these four types of materials,
each constituting a separate shipment (lot).
Digicover book shipment. The cover will be copied and laminated becoming the
hard cover for the book.
Book must have continuous paperback cover with flat spine. (No
spirals or single folded, stapled section.)
Book must be no more than 2 inches thick.
Book must be under 13 ½ inches in height.
Book must not have a torn or marred cover.
Do not digicover any University Archive books.
Paperback shipments
Books that need no special instructions, but can not be treated
as a digicover.
Book must be no more than 2 inches thick.
Book must be under 13 ½ inches in height.
Book can have "bind in cover" flyer put in it. Do not bind in
covers of glossy books.
Books with staples or spirals removed can be bound as a paperback.
Bind in cover for all University Archive books.
Custom Books. These will need binding tickets typed with special
instructions.

Pamphlets Soft covers will be kept and item will be sewn into
hard cover. These will need typed binding tickets.
Must be no more than 50 pages including covers.
Must be single fold issue (no stapled pages)
Check with Preservation for 1-10 page items that may be put in
pamphlet binders.
Rush, Music
and Dissertations have their own
instructions and should not be mixed with these items. If any reference
materials are found they should be moved to the rush materials shelf.
General instructions
Spiral bindings must be removed and the item rubberbanded together.
Errata sheets should be inserted after title page and before contents
page.
Gift plates not in book (or to be replaced) should be kept with
libraries material (with binding slip.) Be sure they are marked
for identification later.
Complete a Shipment Slip for each shipment. Fill in type
of material and shipment number, date shipment leaves for bindery
and number of items in shipment.
Fill out a Product Code sheet for each shipment. Circle the
product code and type. Fill in number of items in shipment.

Shipments or "lots" may contain as many books as wanted. Bindery
requests that each product shipment be an ongoing shipment. Place
the shipment, with shipment slip, any tickets or extra material, by
the student terminal with a note to “Charge and Box” the shipment.
When the final shipment of the product type is complete, put the product
code sheet on top of the shipment with a note to "Charge and Box"
the shipment.
Directions for Pocket Material
Label pocket material to match to book when item returns from
bindery. Give title, call number, barcode and shipment number. Material
does not go to the bindery. (Do not write on material.)
Measure material to go in pocket.
Ticket instructions should read "Make pocket (height in inches)
x (width in inches) x (depth in inches)" Depth will not be needed
if piece is flat. Request paper pocket for depth up to and including 1/4". Any depth over 1/4" requires a cloth pocket. Cloth pocket items must be in a separate lot.
Pocket material will be placed in file drawer.
If pocket material is 1/8" or less in depth, a pocket will be
made in Preservation when the book comes back from the the bindery.
A note should be put in the item record which states that book needs
to be sent to preservation with the pocket material so a pocket
can be made.
