Preparing Rush Items for Binding


Note: Any book marked with a Rush flyer, a Priority flyer or belonging to a reference area will be treated as rush. They are charged to the rush shelf and are sorted for the bindery the day before the shipment leaves. They may go as either a custom book shipment or paperback. IF there are rush items in the Mylar shipment it can be marked as a RUSH shipment.
  • Fill the top shelf of a book truck with everything on the rush shelf.
  • Assign the next number from the binding shipment log to this shipment; record the number, shipping date and type on the log. These can be custom books, paperbacks or mylar. Place an R to the left of the box for each rush shipment.
  • Also write the shipment number, type of material and shipping date on a new shipment record slip.
  • Inspect each volume for the following:
    • Author and title are properly marked
    • Call number written on page after title page
    • Valuable information on outsides or insides of covers - Mark to Bind-in-Cover or photocopy the material when covers may not bind in well.
    • Physical format
    • OCR # on page with call number
  • Books that will go into a custom shipment may fit any of these situations. Prepare a binding ticket for each volume which has the following components:
  • Text was sewn in signatures, if want to keep type instuctions Recase?
  • Pocket material
    • Remove material. Measure size and mark binding ticket make pocket_____inches (height)X_______(width)X______inches (depth). Always give measurements in same order.
    • Mark all pocket material with OCR number, book title, call number and shipment number. Place in file drawer for pocket material.
  • Foldouts -- type instructions Watch for foldouts
  • Photographs or illustrations across entire page. Note: Photos in gutters.
  • Narrow gutters Watch narrow gutters
  • Give a color if book is part of a set or on the list of special titles.
  • Books over 13" in height or 2" wide must go in custom book shipment.
  • Type a binding ticket for each book. All books in a shipment need a ticket even if there are no special instructions.
  • Place both copies of ticket under front cover of book.
  • If item has giftplate see PROCEDURE FOR GIFTPLATES.
  • Remove all spiral bindings and use rubber band to hold pages together.
  • When all books are sorted into shipments and tickets typed for books, fill out both a shipment slip and Product Code sheet for each shipment. (SEE PROCEDURES FOR SHIPMENT MARKING) Write number of items in shipment on shipment log and on each sheet.
  • On Voyager, locate a "Blank" Binding Patron ID number. (See CHARGING PROCEDURE). Write the Patron ID number on the shipment record slip.
  • Charge each book out on Voyager. Make sure that each charge registers. Be sure ticket count and number of charged items match.
  • Prepare box labels and box materials.
  • Fill in bindery shipment log with number of boxes, product code, piece count and shipment number.
  • Place Product Code sheet in box to with materials to the bindery.
  • File small shipment slip in Monographs /Paperbacks box of the outstanding shipment file.
