Binding
Binding Dissertations, Theses, and Reports

Copies 1 and 2 of all dissertations/theses/reports become the property of the K-State Libraries. (c.1 is kept in University Archives and c.2 circulates as part of the library collection).

Copy 3 belongs to the University Department and will be sent to the department after binding, except for Architecture. All Architecture copy 3's are cataloged and belong to the architecture library.

All cataloged copies will be charged out to the binding unit when the cataloger brings them to the unit. (PID# D0208 88800) Copy 3's belonging to the departments may be placed directly on binding shelves.

Sorting for shipments to the bindery

Sort copy 1's, 2's and 3's by type (theses, dissertation or report). Assign a different job number for each type and copy number.

Cataloged Copies

  • Check the margins, which should be 1 1/2" on the left and 1" on the right, top and bottom.
  • Check to make sure the author and title are marked and the call number is written on the following page. Check that the call number is correct for type of material (D, T or R), year and department.
  • Check for any foldouts, cassettes, etc. If found, type special instructions on the binding ticket. Keep the accompanying material in the file drawer, do not send with the tiem.
  • Create a job for each type and copy number. Use appropriate title ID in LARS for type and copy number (this information located by the binding computer). Complete require information.
  • Charge out item to appropriate shipment and return each item to its manila envelope, closing envelope for shipment.
  • Box shipment according to usual procedures. Fill in binder shipment log.
  • File shipment slip in the Monographs/Paperbacks drawer in the outstanding shipment file.
  • Uncataloged copy for University Departments

  • Check the margins, which should be 1 1/2" on the left and 1" on the right, top and bottom.
  • Title and author will not be marked. There should not be a call number or barcode.
  • Check for any foldouts, cassettes, etc. If found, type special instructions on the binding ticket. Keep the accompanying material in the file drawer, do not send with the item.
  • Create a job for each type and copy number. Use appropriate title ID in LARS for type and copy number (this information located by the binding computer). Complete required information.
  • Make a list which includes the author's last name, first initial, indicating the department, type of material and year for each item
  • Box shipment according to usual procedures. Fill in bindery shipment log.
  • Place the list with the shipment slip and file in the Monographic/Paperback drawer of the outstanding shipment file.

    Cataloged copies are treated like all other library materials. Copy 1's will be taken to Circulation on a book truck to be sent to the annex.

    Uncataloged Department Copies

  • Check for accuracy as per usual procedures.
  • Check against list to make sure all have been returned.
  • Sort by department and type a form letter to send to each department along with D, T, R's. Form letter is saved at w:\techserv\binding\thesis letters. Save a copy of each letter in w:\techserv\binding\.... (use dept name for each file name) Box D, T, R's with form letter and send to department.
  • Label each book with the department's name and take to the reception desk, where they can be picked-up by a department representative.
  • Once letters are signed, they are returned. File the letters.
  • * All copy 1's will be black (990). All department copies will be black, except Masters in Agribusiness will be green. Copy 2 theses will be dark green (490), dissertations will be maroon (192) and reports will be gray (943). *All foil is gold except copy 2 reports have white foil.
